Resources for indexers

Everything you need to start indexing parish registers in BaSIA: the steps, the rules and aids for reading documents.

How to start

  1. 1
    Create account

An account lets you reserve books, log in to the ASIA program and send indexes.

  2. 2
    Choose and reserve a book

The map shows what has been indexed and what is waiting. A reservation lasts one month and can be renewed.

  3. 3
    Download the ASIA program

In the program you browse scans from Szukajwarchiwach and enter the data – log in with the same account.

  4. 4
    Index

Enter the data from each record according to the rules below. Mark scans without information as “no data”.

  5. 5
    Send the index

Send the finished index of the whole unit from the program. The administrator checks it and adds it to the database – it will appear in “Recently added”.

Indexing rules

  • Write surnames exactly as they appear in the document.
  • In given names you may correct spelling mistakes and, above all, expand abbreviations, e.g. Mar. – Martinus, Fr. – Franciscus, St. – Stanislaus.
  • You can separate several surnames or given names with any short connector (“ur.”, “geb.”, “I voto” etc.) or brackets – what matters is a space between the words.
  • If something is missing in the document (e.g. the name of a stillborn child), leave the field empty – you can note it in the comment.
  • Join a record spanning two scans with the “join scans” option (right-click on the scan).
  • Mark scans without separate information (first and last pages, “second” pages of marriages) as “no data”.
  • Mark all civil records kept by parishes as parish records, not as civil registry office (USC) records.

How to search

In one field you can enter one or more people, surname similarity, years and a place. Click an example to try it.

surname
given name and surname
“?” instead of the surname – surname unknown, only the first name is searched (best with a place or years)
only exactly this spelling of the surname – a lower percentage also finds similar spellings
after a comma, years – only entries from these years (or from one year: 1880)
after a comma, a place, optionally with a radius – entries from it and the surrounding area
two people in one entry, e.g. a bride and groom or a child and mother
everything together – a marriage from 1884 in Długa Goślina
